Millwards Park District Event, 20/02/05.We apologise to to early competitors whose starts were affected by the problems we encountered with the programming of the start and finish controls. Although the problem was resolved reasonably quickly the re-programmed boxes were running about a minute ahead of race time. On the white and yellow courses, where this resulted in some negative first leg splits, this has been manually corrected, but on all other courses the first split is a minute too short and the run-in time to the finish a minute too long. A very small number of competitors (marked below by asterisks), mostly club helpers who started very early, have estimated start times based on their known clear time and average first leg times. Organiser's Comments.I volunteered to take on organising and Rory to do the planning for the event on a dark day in November – we had just done a joint effort on a Saturday Series Event in Millward’s so knew many of the ins and outs of the area. Couldn’t be that hard - a few extra people, ... I was regretting it by the time I got home! In the end it all went smoothly enough (other than the problems with programming the SI units) thanks mainly to all the wonderful HH members who when asked for help said yes and got on with it efficiently and well. When I put the list together of people to thank, I was amazed at the sheer numbers of people involved in putting on the event, nearly 40 people in all for an event where almost 200 runs were recorded. My special thanks to the SI team, Mike for doing the setting up despite one leg in plaster, Kevin for stepping in at short notice to run the effort on the day and the other club experts who helped dig us out of the mis-programming hole – sorry we didn’t give you an easier ride! Also to Lesley and Colin for taking most of the strain of the post event wrap-up away – no journeys to drop off equipment, to banks or sorting out lots of bills. Máire Convery Planner’s Comments.Apart from a small Saturday Series event (also in Millward’s Park) last Autumn, this was my first attempt at planning. Initially I was a little concerned about planning an event in the wood as so much had changed on the ground since the map was last drawn. Indeed, some areas had been changed so drastically that they had to be remapped in any case (thanks to those involved with this project). The Cecil Gascoyne Estate (owners of Millward’s) were planning to fence off an area in the middle of the wood for pigs. This was due in February and would have caused us a considerable headache as right on the line of several courses. Fortunately this did not materialise. The main problem was that rhododendrons have a habit of growing! Hence many of the fight sections had changed, including gaps through the rhodies on the map being closed in practice. These smaller - but important changes from a route planning point of view - could not be included in the re-mapping as they were too numerous. Hence it was necessary to plan courses that did not use these routes (assuming you were on the best line, of course). I hope, therefore, that competitors did not get unduly confounded by the expanding rhodies. With helpful assistance from Andrew Chalmers (Controller) I was happy with the final courses and was pleased to hear mainly complimentary comments competitors at the finish. My inexperience in planning had to rear its head somewhere and this proved to be with the electronics. Programming the controls for the first time late the night before, with the assistance of a manual only, proved to be my downfall as a mistake was made with the start etc controls. My apologies for competitors, especially those starting early on, who had to stand around in the cold for far too long; and to several of the helpers that had to deal with the situation. From a personal point of view I have become very ‘attached’ to the wood and enjoyed the various days I spent in it on my own looking for control sites etc. As a private wood it was very nice to have the wood to myself on several occasions and I think I even started to recognise one of the muntjacs! Rory Percival Controller’s Comments.Rory and I had inauspicious starts to the day when he found 4 SI boxes did not respond and then, after checking 6 of the 55 controls, my SI dibber also ceased to get any response. Initially we put it down to a cold weather problem. However, after a telephone call Rory went to the first errant controls that I had attempted to check and he dibbed OK. The four SI box placers (less than an hour ahead of me) had all dibbed successfully and we therefore assumed my dibber had inopportunely passed its shelf life. In the available time left I continued to check that all the controls were correct and in position and returned to the start to find a crowd of about 40 awaiting starts and a new problem of apparently lifeless start controls. To alleviate impending mass hypothermia in otherwise eager competitors, I initiated a manual start at 30-second intervals to clear the backlog, taking names etc for safety reasons and in case of mass electronic failure. Meanwhile, the start, clear and check boxes were changed in succession by dint of some despatch riding back and forth to Registration and eventually the problem was located in a check box. From then on, with a new check box, things ran smoothly. We can only apologise for these early delays at the start. In view of the weather, it was not an option at a District event to suspend the start until the problem was resolved. Millward’s Park is a pleasant and interesting orienteering area with lots of options for junior courses and off path runnable for senior courses with the bracken is at its lowest. The only downside is the rampant rhododendron bushes, which quickly outpace the map. Looking at it positively, this rapid seasonal growth gives the planner an opportunity for planning more route choices on the senior courses as well as some useful control locations. Rory used the area very well and planned eight excellent courses in his first role as planner of a District Event. Judging from the favourable comments at the Finish, most competitors had satisfying and demanding runs, despite the early hitches. The finishing times for most competitors are all within the BOF guidelines. Maire’s team of helpers coped efficiently and majestically in the bitter weather. The results team have incorporated the manual start times, where appropriate, to give course times. However, split times could not be provided for all without a lengthy download of 55 control boxes.
